Outlook Address Book/Email problem

Outlook Address Book/Email problem

I have quite a few contacts in my address book, all of which have email address, phone numbers, fax numbers, address, etc.

When I create a new email and click on the "To" button to open up my address book, it lists names multiple times because they have an email address and a fax number.

How can I get my Outlook Address book to ONLY show names once/ONLY show names with an email address?

When you select 'To' and the new window appears at the top it shows

Show Names from the ...

Select Contacts from the drop down list and see how it appears.

Names are listed multiple times. For example David Ericksen will show up 3 times and if i click to add all 3 David Ericksens it will add his email address, his fax1 number, and his fax2 number.

Is that when it is selected to Contacts or to Outlook Address Book?

When you open Contacts is each contact showing once or multiple times?

That is the reason you get multiple entries when you click To in an email.

You need to delete the repeated items.

There are NO repeated entries in my Contacts folder which is my address book. when i enter a new contact like this:

Bob Johnson
Business Fax: 555-555-5555
Business Fax 2: 555-555-5555
email: bjohnson@email.com

It is all saved under one contact, BUT when i click in the To field in an email to bring up my address book, it lists Bob Johnson 3 times, once for the email address, once for the fax1 and once for fax2. i only want it to show his name ONCE for the email address.

Becuase when his name is listed 3 times in that address book when i write an email, i cannot tell which of the 3 Bob Johnsons is the email address and which are fax numbers without first adding them to the email itself.

Your Outlook Contacts Folder is different to your Outlook Address Book.

When you open a contact to edit the details does it look like this ...

Ok that struck a chord. I played around with it. So that explains why "Contacts" is listed 2 times when i hit the "To" button in the email to bring up the contacts. The first contacts list is the "Personal Address book" which i can edit seperately from my "Contacts" in outlook.
